1. DATES
Start Date for abstract submission - March 18, 2019 at midnight GMT
Deadline for abstract submission - December 31, 2019 at midnight GMT, until january 31, 2020 at midnight GMT
2. TYPES OF PRESENTATIONS
Two types of proposals for presentation in the concurrent sessions may be submitted:
1 - Oral presentation;
2 - ViPER Poster;
3 - Parallel symposium – Set of communications on the same topic from different perspectives. Duration will be 30 to 40 minutes, depending on the number of communications for presentation, at least three up to four. Speakers presenting a symposium should submit only one abstract according to the formal criteria laid out in paragraph 4.
NB: Each type of proposal will have a specific format of presentation (see point 6).
3. THEMATIC AXES FOR SUBMISSION
When submitting the abstract you must identify in which of the following thematic axis your study fits in best:
1. Clinical practice;
2. Leadership, organizational management, and nursing workforce issues;
3. Nursing and health education;
4. Historical and cultural nursing and healthcare issues.
4. SPECIFIC CRITERIA FOR ABSTRACT PREPARATION AND SUBMISSION
The abstracts should comply with the criteria (scientific and formal) established by the Scientific Committee of this event:
Scientific Criteria:
a) The knowledge in the submitted abstract should be current and relevant;
b) Priority will be given to empirical research studies and systematic reviews;
c) Authors may present results of completed studies. Results from studies in progress may also be accepted;
d) The authors must fill in all fields in the submission form, respecting the scientific content specific to each field;
e) The content of the presentations is a responsibility of the authors and presenter.
Formal Criteria:
a) Authors must indicate the thematic axis of their presentations;
b) Each presentation can only fit into one of the thematic axis;
c) Each presentation cannot have more than 6 authors;
d) Each author cannot be included in more than 6 abstracts/presentations (participation in a symposium is excluded);
e) Only 1 of the authors can be the Presenter and his/her name must be indicated in the submission form;
f) Each author can present a maximum of 2 presentations;
g) Authors can submit their abstracts in English or Portuguese;
h) All presentations must be submitted through the conference webpage (those submitted by fax or email will not be accepted);
i) All fields in the submission form must be completed, without exceeding the following number of words:
. Introduction - max. 80 words;
. Objectives - max. 50 words;
. Methodology - max. 80 words;
. Results - max. 100 words;
. Conclusions - max. 50 words;
. Keywords – min. 1 keyword and max. 6 keywords;
. References – min. 1 reference and max. 4 references (APA style, 6th Edition);
. Financing entities – max. 15 words.
j) Parallel symposium
Duration will be 30 minutes (recorded). A single applicant will submit the topic, and all speakers (at least three up to four) should present their communication under the same topic from different perspectives.
Symposium submissions that include international project communications, especially with participants from different countries, will have priority.
5. PEER REVIEW
Abstracts will be assessed by two reviewers who are members of the scientific peer review committee of the event. Confirmation of acceptance or rejection will be sent, by email, in no more than 30 days after the submission.
6. PREPARATION/SUBMISSION OF FILES & PRESENTATION
Considering the current COVID-19 pandemic we appreciate that attendees will be unable to attend in person, as initially planned. Therefore, the conference will be delivered virtually via Zoom technology with the support of a Conference App with chat rooms and social networking.
The authors of accepted oral/poster presentations can either present their work live during the event streaming or submit a short video that will be made available on the conference’s website and app.
FOR RECORDED ORAL/POSTER & SYMPOSIUMS PRESENTATIONS:
- Authors of accepted oral/poster presentations must video record and send their presentations until May 20th, 2020;
- Authors must submit the final version of their video presentation using one of the following formats: .MOV; .MPEG4; .MP4; .AVI, or .WMV. Other technical indications are listed in the document "Presentation Guidelines";
- Authors’ creativity is encouraged, and any digital options are eligible to captivate the audience’s interest (e.g., PowerPoint or similar with narration, video animation, side-to-side presentation);
- Presentations should last no longer than 10 minutes for oral communications and 3 minutes for posters;
- We strongly suggest that you include the presenter’s name and e-mail in the video;
- Please rename the name of the video file with the title of your presentation;
- You can send your presentation through WeTransfer (https://wetransfer.com). Please create a WeTransfer link (short tutorial) and e-mail it to presentations.sigma@esenfc.pt. Please, do not use the standard option to send it through WeTransfer’s website.
- Authors will receive an e-mail confirmation that their video file was received and complies with the above guidelines.
- We ask for your permission to share your recorded presentation on the Conference’s website and app. This will allow for other attendees in different time zones to also watch your presentation. Therefore, we kindly ask all presenters to sign the attached consent form and e-mail it to presentations.sigma@esenfc.pt.
FOR LIVE ORAL/POSTER PRESENTATIONS (ZOOM STREAMING):
- Please make sure that you have installed the Zoom program/app before the start of the event. We strongly suggest that you test your camera and microphone before the event. If you have any difficulties using Zoom, please e-mail the Planning Committee and a test call will be arranged (presentations.sigma@esenfc.pt);
- Authors of accepted oral/poster presentations must be live during the concurrent session, which will be moderated. The Zoom link for each concurrent session will be made available on the Conference’s website;
- Authors may use programs such as PowerPoint or Adobe Acrobat (for PDF) to present their work. Please, do not send these files prior to the event. Each presenter will be asked to share their screen through the Zoom platform;
- Presentations should last no longer than 10 minutes for oral communications and 3 minutes for posters.
- Each presentation session will be moderated and the presenters’ attendance will be confirmed.
Other abstracts will be presented in the same session so the time limits will be strictly enforced. We therefore ask you not to exceed the time limit in order to give the other speakers enough time for their talks and to allow for a fruitful discussion.
- As we plan to record all the live presentations, we ask for your permission to share your presentation on the Conference’s website and app. This will allow for other attendees in different time zones to also watch your presentation. Therefore, we kindly ask all presenters to sign the attached consent form and e-mail it to presentations.sigma@esenfc.pt.
The presenters of accepted abstracts must register for the 5th Biennial European Conference and pay in full until April 30, 2020, at midnight GMT. If payment is not received on time, these abstracts will be removed from the program and the digital book of abstracts.

7. CERTIFICATION
The presentation certificate will be issued according to the data provided in the submission form, including: the oral presentation/ViPER poster title, the authors’ names, the presenter’s name, presentation data, and the name of the event.
In case of parallel symposiums, each speaker will receive a certificate indicating the type of communication, the title of the symposium, and the name of the remaining participants.
The certificates shall be delivered by the moderator to the presenter, at the end of the session, in equal number to the number of authors.
Accepted oral presentations and ViPER Posters presented according to the timetable will be certified. The oral communications and ViPER posters that were not presented in the time and place established will not be certified nor published in the digital book of abstracts.
The organization shall not perform corrections of certificates.
8. PUBLICATION
Abstracts of accepted presentations (oral presentations and ViPER posters), that performed an oral presentation at the 5th Biennial European Conference, will be published in a digital book of abstracts (one page for each abstract). The document will be available on the event’s website.
The authors are responsible for the scientific contents of their abstracts and will be published in the Virginia Henderson Repository. To do so, please submit your abstract and your presentation (PDF only) to the Sigma Repository. You can fill the participation form no later than April 30th here.
9. AWARDS
The best oral presentation and the best poster will be awarded.
Evaluation of free communications will be made by the content and performance on the presentation.
The award will be delivered to the presenter of the best oral presentation and the best poster at the closing session of the 5th Biennial European Conference.
